VENUE

The Hilton Warsaw Hotel is located in the business and financial district of Warsaw which is 5-10 minutes’ walk to all the main office buildings of downtown and only a 5 minute taxi ride away from Warsaw's Unesco World Heritage monument - the old-town.

The Palace of Culture and Science, museums, theatres, restaurants, bars and clubs are within easy reach either by walking or by a short cab ride.

The hotel is 20-30 minute drive from Warsaw Frederic Chopin International Airport (WAW).  A city taxi ride to the hotel costs approx. 40,00 Polish Zlotych (= approx. EUR 9,00). A Limousine transfer is bookable via the hotel.

DIRECTIONS

By car:

Hilton Warsaw Hotel & Convention Centre is located on the left side of the Wisla River.

From the North - enter Warsaw via Route E77, then Pulkowa Street, then Marymoncka and Popieluszki, pass the Arkadia shopping center on your left and take 1st exit on the nearest roundabout. Drive straight ahead, cross the tram line junction and traffic lights and turn left on the next lights. You will see the Hilton Warsaw Hotel & Convention Centre ahead of you, on the right side of the street.

From the South - approach Warsaw via Route E77, then Aleja Krakowska and Grojecka Str., cross Zawiszy Square with roundabout and take 3rd exit. Go straight, cross another roundabout and turn right into the second street which is Grzybowska and you will see the Hilton Warsaw Hotel & Convention Centre on your right.

From the East - drive to Warsaw via Route E30, then straight along Grochowska Street until you have reached the Warszawa Wilenska train station. There, turn left into Aleja Solidarnosci, crossing the Wisla river you will see the Royal Castle, drive straight ahead and the 4th major crossroads with street lights, which are on a roundabout, turn left into Towarowa Str. The 3rd street left is Grzybowska. You will see the Hilton Warsaw Hotel & Convention Centre on your right.

From the airport to the Hilton Warsaw Hotel:

11KM from City Centre. Bus links available to Krakow. Trains every hour from Krakow to Warsaw (journey time 3hrs). By car take Route E-7

IMPORTANT VAT INFORMATION

  

  • All fees are in Polish Zlotych and subject to Polish VAT at 23%.       

     

  • NATO personnel and some Diplomatic Missions may be exempt from VAT charges but must provide a VAT Exemption Certificate otherwise VAT will be charged. This document has to be provided with registration form.

 

Pre-registration is required prior to 14 May 2013.

An official confirmation letter will be sent by email upon receipt of full payment. If you have not received the official registration confirmation letter within 14 days, please contact AFCEA Europe or call +32 2 705 2731. Your badge will be available on-site at the "Registration desk" at the Hilton Warsaw Hotel. Everyone must wear this badge at all times whilst attending the event. Official identification will be requested for badge collection.

 

DINNER

A Networking dinner will be held on 28 May at the Belvedere restaurant in the Royal Lazienki Park at 19h00. Bus transportation will be provided from the Hilton Warsaw Hotel. Details for bus departure will be available in due time.

WHEN SHOULD I PAY FOR THE CONFERENCE?

When registering and prior to 14 May 2013. Payment can be made by credit card or bank transfer before the event. An invoice will be e-mailed to you or to the contact person named on your registration form.

 

SPONSOR/EXHIBITOR

Conference pass and exhibit table space are included in the sponsorship package. Everyone must register to receive a badge.

Be advised that the exposition is in the form of a table-top display (no stands) which includes 4 square meters space, table and chairs, and electricity. Please bring your own electricity leads, adaptors, etc. for a smooth set up. There is no official freight forwarder; each sponsor is responsible for his own shipment and customs clearance. Hotel accepts shipment from 24 May onwards (max. volume 100kg per parcel. Size of parcel should not exceed 1x1x1meter). Please label your parcels with the Event shipping label received by e-mail and ship them to:  Hilton Warsaw Hotel & Convention Centre, Loading Bay, to the attention of Ms. Zuzanna Buslowska, Grzybowska 63, 00-844 Warsaw, POLAND.

The timing for setting up on 27 May 2013 is from 17:00 to 20:00 and on 28 May from 07:00 to 07:45; dismantling is on 29 May 2013 from 18:00 to 20:00.

WHEN WILL I RECEIVE MY CONFERENCE MATERIAL?

Your badge and a Final Programme will be distributed on arrival at the AFCEA Europe Registration Desk.

 

PRESENTATIONS

Each participant will receive at the end of the conference a CD-rom with the presentations authorized for publication by the speakers.

 

WHAT SHOULD I WEAR?

The dress code is business suit or military uniform.
